How to anonymize consultant CVs for tenders and client submissions

Before sending a consultant's CV to a client, an IT consultancy usually removes the person's identity (replaced by initials), photo and personal contact details, and, when a confidentiality agreement requires it, the names of the clients they worked for. There are two reasons: stopping the client from hiring the consultant directly before the contract is signed, and the GDPR's data-minimisation principle. Public and EU tenders work differently: the buyer evaluates real people, and the tender specifications set the CV format. Here is what to remove, what to keep, and how to process twenty CVs before a deadline without rebuilding their layout by hand.

Why do consultancies anonymize their consultants' CVs?

To protect the commercial relationship and limit the personal data in circulation. At the pre-sales stage, the CV (or consultant profile) goes to a client who has not signed anything yet. With the consultant's full name and phone number, nothing stops that client from calling them directly. Initials are enough to assess a profile.

  • Bypassing. Without identity or contact details, the client goes through you until the contract is signed.
  • Confidentiality of your other clients. A consultant CV often names the clients of past assignments. If a non-disclosure agreement binds you, those names do not belong in a prospect's inbox. A descriptor ("large French retail bank") keeps the useful information.
  • The GDPR. A CV is your employee's personal data. The data-minimisation principle (GDPR article 5(1)(c)) means you only share what the purpose requires, here assessing skills. A home address, date of birth or photo is not part of it.
  • Comparability. Clients compare profiles more easily when they are presented the same way, under your brand.

What should you remove from a consultant CV, and what should you keep?

Remove everything that identifies or reaches the person; keep everything that proves they can do the job. The table below goes through each element.

The name rarely sits in one place only. Check the header, but also the footer, the email address (often firstname.lastname@…), LinkedIn or GitHub links, the file name and the PDF metadata (Author field), which is invisible on screen but readable by anyone.

Do not remove what the client is looking for: technologies, roles, assignment lengths, client sector and size, certifications, languages, degree level. Hiding the school only makes sense when it identifies the person too precisely.

Public and EU tenders: do CVs have to be anonymized?

Not necessarily: the tender specifications decide. In public procurement, the buyer evaluates the team you propose. It may require named CVs and a specific format. In tenders run by the EU institutions, a CV is requested for each project manager, expert and team member, on the template annexed to the specifications or, where accepted, in the Europass format. That is, for instance, the European Commission's official answer in call for tenders EAC/07/2015.

Data minimisation applies everywhere. Even when the name is required, nothing justifies sending a home address, a date of birth or a photo, or client names covered by a confidentiality agreement. Read the tender documents: if they impose a CV template, use it; if they ask for anonymized CVs, remove the name as well.

How do you anonymize twenty CVs before a deadline without breaking their layout?

Not with a black box. Drawing a rectangle on a PDF hides the text on screen but leaves it in the file: it can still be copied, and the name often survives in the metadata. The economists who evaluated anonymous applications across Europe call manual blacking-out "a particularly costly, time-consuming, and error-prone technique" (IZA World of Labor, 2018).

Three methods hold up:

  • Going back to the source file (Word, Google Docs): replace by hand, re-export to PDF, then wipe the metadata. Reliable, but count several minutes per CV.
  • Consultant-profile software: you import or retype each CV into your firm's template. Useful to maintain a profile database, heavy for a one-off bid.

It is the document an IT consultancy sends a client to present a consultant: skills, technologies, past assignments, education. It is usually presented in the consultancy's branding and anonymized at the pre-sales stage (initials instead of the name, no personal contact details).
